Privacy Policy

This policy explains how Call Me Fred – adsyme Ltd (England and Wales, company number 08301982, 86–90 Paul Street, London EC2A 4NE, United Kingdom) collects and uses personal data in TrakVox: the TrakVox mobile app for Android and iPhone and its website at voicetrack.radiositemaker.com (together, “the Service”). We are the data controller. Questions: hello@radiositemaker.com.
TrakVox is part of the Radio Site Maker family and shares its sign-in with RadioHost Live and RadioHost Studio, run by the same company. The RadioHost Live privacy policy covers billing and anything you do in those products.
1. Data we collect
- Account details — your email address, display name, and your station's name and team. Sign-in is passwordless (a one-time code sent by email), so we never store a password.
- Audio and show content — songs a station manager uploads or imports, voice recordings a DJ makes or uploads, the playlists, notes, due dates and transition settings around them, and the finished shows we burn.
- Microphone — the app and website use your microphone only while you are recording a voice track, after you press Record and grant permission. We do not listen in the background, and nothing is recorded otherwise.
- Plan status — whether your station is on the Free or Pro plan and its storage allowance. Payments are taken on RadioHost Live through Paddle; TrakVox never sees card details.
- Dropbox (optional) — if a station manager connects the station's Dropbox, we keep the Dropbox account's email address and ID and an access token. See “Dropbox” below.
- Technical data — IP address, device and browser type, and basic request and error logs.
We do not collect location, contacts, photos, advertising identifiers, or special-category data.
2. How we use it
To run your account and your station's team, store and process your audio, let DJs and managers work on the same playlists, burn finished shows, send one-time sign-in codes and workflow emails (a show assigned, submitted, sent back or ready), enforce plan limits, keep the Service secure, and meet our legal obligations. If a manager publishes a show to RadioHost Studio, the audio and playlist are copied into that station's Studio account.
Our lawful bases under UK GDPR are performance of our contract with you, our legitimate interests in operating and securing the Service, and compliance with legal obligations. We do not use your data for advertising, and we do not sell it.
Dropbox
A station manager can connect the station's Dropbox to add songs to a playlist from it. The connection lets TrakVox read the station's Dropbox: it lists folders and searches file names when a manager browses or searches from a playlist, and downloads only the audio files the manager picks. TrakVox never writes to, moves or deletes anything in Dropbox, and does not look at files nobody picked. A picked song is copied into the station's TrakVox storage and from then on is treated like any other uploaded song (see “How long we keep it”).
The connection's token is stored encrypted and is used only for these requests. Any manager of the station can disconnect Dropbox from the “Add from Dropbox” window, which revokes the token with Dropbox and deletes it from TrakVox; you can also remove TrakVox from the connected apps in your Dropbox account settings. Songs already copied stay in your playlists until you remove or flush them. Dropbox's own handling of your data is covered by the Dropbox privacy policy.
3. Who can see your content
Playlists and recordings belong to the station. The station's managers can hear and change everything in it; a DJ sees only the playlists assigned to them. Nobody outside your station can access them.

Some providers may process data outside the UK/EU; where they do, appropriate safeguards (such as standard contractual clauses) are in place.
5. Cookies and analytics
The website sets one essential cookie to keep you signed in and protect forms; it is required for the Service to work. Your light/dark theme choice is stored in your own browser. The mobile app keeps your sign-in token in the device's secure storage. We use no analytics, advertising or cross-site tracking cookies or SDKs, on the web or in the app.
6. How long we keep it
- Audio — until the station flushes or deletes the playlist, or the account is deleted. Flushing removes the songs, voice tracks and burned files and keeps only the playlist's record.
- Account data — while the account is in use; deleted within 30 days of a deletion request.
- Dropbox connection — until a manager disconnects it or the account is deleted.
- Technical and log data — up to 12 months.
- Payment and invoice records — kept by RadioHost Live for up to 7 years, to meet UK tax law.
7. Your rights
Under UK GDPR you may request access to your data, correction, deletion, restriction or objection to processing, and portability, and you may withdraw consent where processing is based on it. Email hello@radiositemaker.com and we will respond within 30 days. You can also complain to the UK Information Commissioner's Office (ico.org.uk).
8. Deleting your account
You can ask us to permanently delete your TrakVox account and its data at any time, whether you use the website or the app:
- Email hello@radiositemaker.com from the address linked to your account — we use it to verify the request.
- Use a subject line such as “Delete my account”. No reason is needed.
We confirm the request and delete your account details and, for a station owner, the station's playlists and audio, within 30 days. A DJ's voice recordings stay with the station's playlists they were made for unless you ask us to remove them too. Because the sign-in is shared, say in your email if you also want your RadioHost Live and Studio account deleted.
9. Security
We use TLS encryption in transit, store session tokens and one-time codes only as hashes, store Dropbox tokens encrypted, keep audio in private storage reachable only through short-lived signed links, and apply access controls. No system is perfectly secure, but we take reasonable measures to protect your data and will notify the ICO of a qualifying breach within 72 hours.
10. Children
The Service is for radio stations and their presenters and is not directed at children under 16. We do not knowingly collect their data; if you believe we have, contact us and we will delete it.
11. Changes
We may update this policy; material changes will be notified by email or in the app, and the date above will change.
